CAP Engineering is looking for a Corporate Support Specialist to be based out of our Whitehorse office. You will be responsible for providing comprehensive support to both corporate and project teams, ensuring seamless collaboration and effective implementation of work processes and procedures. This role involves a proactive approach to administrative tasks, grant opportunities, document management, and corporate initiatives. The ideal candidate is a highly motivated team player who can take ownership of responsibilities while remaining adaptable to evolving priorities.

Responsibilities:

  • Seek out and respond to grant opportunities, including application preparation and tracking.
  • Collaborate with the team to develop estimates and proposals for new business opportunities.
  • Provide support to corporate finance and administrative teams, ensuring smooth operational workflows.
  • Assist project management teams with administrative support, including document preparation and control.
  • Maintain accurate and up-to-date logs, records, and reports, adhering to corporate standards.
  • Participate in the application and improvement of corporate and project work processes and procedures.
  • Lead by example in understanding and applying CAP’s standard policies and procedures.
  • Support local and corporate initiatives by providing administrative and operational assistance.
  • Conduct routine reviews and updates of project documentation and ensure compliance with organizational requirements.
  • Assist management personnel in the administration and execution of project tasks, ensuring efficiency and accuracy.
  • Plan and coordinate feedback processes, surveys, and other engagement activities.
  • Contribute to office management tasks, including answering phone calls and taking messages, greeting customers, maintaining supplies, organizing events, and supporting team development initiatives.
  • Take meeting minutes and dictations when required.
  • Perform additional assignments and responsibilities as requested, demonstrating a hands-on and collaborative approach.

Qualifications:

  • Experience in a corporate support or administrative role, preferably in a technical or engineering environment.
  • Familiarity with grant applications, proposals, and funding opportunities is an asset.
  • Knowledge of document control practices and procedures.
  • Understanding of corporate work processes and a proactive approach to improving them.
  • Post-secondary education in business administration, project management, or a related field is preferred.
  • Strong problem-solving and multitasking abilities.
